1. Who we are
HUMN Limited (“HUMN”, “we”, “us” or “our”) provides People, Operations and Talent services to businesses. As part of our Talent services, we help clients identify, assess and recruit people for opportunities within their organisations. This Candidate Privacy Notice explains how we collect, use, store and share personal information about individuals who apply for roles through HUMN, are introduced or referred to us, or who we identify as potentially suitable for an opportunity.

2. Who this notice applies to
This notice applies if you:
● apply for a role advertised or managed by HUMN;
● submit your CV or professional information to HUMN;
● speak to us about current or future opportunities;
● are referred or recommended to us;
● are identified by HUMN as potentially suitable for an opportunity; or
● otherwise engage with our Talent services.
You do not need to have formally applied for a role for this notice to apply.
3. Information we collect
Depending on how you interact with us, we may collect:
● your name and contact details;
● your CV and employment history;
● your LinkedIn profile or other professional profiles;
● your skills, experience and qualifications;
● current and previous employers and job titles;
● your location;
● salary or compensation information and expectations;
● notice period and availability;
● right-to-work and sponsorship information;
● information provided during applications, conversations, interviews or assessments;
● notes and assessments made during a recruitment process;
● interview and client feedback;
● references, where appropriate; and
● other information you choose to provide.
In limited circumstances, we may process special category information, such as health information where you tell us about an adjustment you require during a recruitment process. We will only process this information where permitted by applicable data protection law.
4. Where we get your information
We may obtain information:
● directly from you;
● through an application;
● from LinkedIn and other professional networking platforms;
● from publicly available professional sources;
● from job boards and recruitment platforms;
● through referrals or recommendations;
● from our clients; and
● from other recruitment-related sources.
This means HUMN may hold limited professional information about you even if you have not directly applied for a role through us. For example, we may identify your professional profile while researching people who could potentially be suitable for an opportunity.
5. How we use your information
We may use your personal information to:
● identify and assess potential candidates;
● match candidates with relevant opportunities;
● contact you about opportunities;
● assess your skills, experience and suitability;
● manage applications and recruitment processes;
● communicate with you;
● arrange interviews or assessments;
● prepare candidate shortlists or profiles;
● introduce or recommend candidates to clients;
● share relevant candidate information with clients;
● obtain and record feedback;
● maintain records of recruitment activity;
● prevent duplicate approaches or submissions;
● consider you for future opportunities;
● improve our Talent services and recruitment processes;
● manage our relationship with our clients; and
● comply with legal and regulatory requirements.
6. Our lawful bases for processing
Under UK data protection law, we need a lawful basis to process personal information. Depending on the circumstances, we may rely on:
Legitimate interests: including our legitimate interests, and those of our clients, in identifying, assessing and recruiting suitable candidates and operating an effective recruitment service. This may include researching potential candidates through professional sources such as LinkedIn and contacting people about relevant opportunities.
Steps before entering into a contract: where processing is necessary to take steps at your request in connection with an opportunity or potential engagement.
Legal obligations: where processing is necessary for us to comply with applicable law.
Consent: where consent is the appropriate lawful basis for a particular activity.
Where we process special category or criminal offence information, we will only do so where an appropriate additional legal condition applies.
7. Sharing your information
We may share relevant candidate information with:
● clients for whom HUMN is providing Talent or recruitment services;
● HUMN team members involved in delivering our services;
● technology and service providers that support our recruitment activities;
● professional advisers where necessary; and
● regulators, authorities or other organisations where required by law.
When sharing candidate information with a client, we will only share information that is relevant to the recruitment process and will do so in accordance with applicable data protection law.Clients receiving candidate information may process that information as separate data controllers under their own privacy arrangements.
We do not sell candidate personal information.
8. Confidential searches
Some roles supported by HUMN may be confidential. In these circumstances, we may advertise or initially discuss an opportunity without identifying the client.Where appropriate, further information about the organisation will be provided as the recruitment process progresses.
9. How long we keep candidate information
We generally retain candidate recruitment information for up to 24 months following our last meaningful interaction with you, unless:
● we are actively working with you on an opportunity;
● you ask us to retain your information for future opportunities;
● we are required to retain certain information by law; or
● there is another legitimate reason for us to retain information for longer.
When information is no longer required, we will securely delete or anonymise it where appropriate.
10. How we protect your information
We take appropriate technical and organisational measures to protect candidate information against accidental or unlawful loss, misuse, alteration, disclosure or unauthorised access. Access to candidate information is limited to people who require it for legitimate business, recruitment or operational purposes. Where third-party service providers process personal information on our behalf, we take appropriate steps to ensure that information is handled securely and in accordance with applicable data protection requirements.
11. AI and recruitment technology
HUMN may use technology, including AI-enabled tools, to support aspects of our Talent services.
This may include helping us to:
● research talent markets;
● identify potentially relevant professional profiles;
● organise, analyse or summarise candidate information;
● support sourcing and search activity;
● prepare recruitment materials; and
● improve recruitment administration and processes.
We do not rely solely on automated decision-making to make final hiring or rejection decisions that have a legal or similarly significant effect on an individual. Human judgement remains part of our recruitment and candidate assessment processes.
12. International transfers
Some of the technology and service providers we use may process personal information outside the UK. Where personal information is transferred internationally, we will ensure that appropriate safeguards are used where required by applicable data protection law.
13. Your rights
Depending on the circumstances, you may have the right to:
● access personal information we hold about you;
● ask us to correct inaccurate or incomplete information;
● ask us to delete your information;
● ask us to restrict how we use your information;
● object to certain processing, including processing based on legitimate interests;
● request the transfer of certain information; and
● withdraw consent where we specifically rely upon consent.

14. Complaints
If you have concerns about how we use your personal information, please contact us first so that we can investigate. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

We may update this Candidate Privacy Notice from time to time to reflect changes to our services, technology or legal obligations. The latest version will always be available on the HUMN website.
